Nothing is held until MERUS confirms it
Your inquiry starts the conversation. Dates, spaces, stays, activities, and services are held only after MERUS confirms the plan in writing.
The written plan will state which admission, vehicle access, lodging, activities, and event access are included. Wait to buy separate items until you receive it.

What to share
Purpose and audience
Describe why the event exists, who it serves, how participation would work, and whether it is public or private.
Program and footprint
Outline the activities, vehicles, stays, shared spaces, equipment, food, vendors, and access needs. MERUS may be able to assist with catering and equipment needs; include those requests in the proposal.
Operations and communication
Identify the lead organizer, proposed participant communications, and any special approval or documentation you expect may apply.
Shape your event
Explore the current options, then include the ones you want in your request. MERUS will confirm what is available and included.

Use current stay pages to understand the available categories, then include the desired mix in the event proposal.

Share your event idea
Send the purpose, proposed dates, audience, program, activities, stays, operational footprint, and lead organizer’s details.
Work through requirements
MERUS will identify requirements for access, space, safety, vendors, food or alcohol, equipment, insurance or documentation, and participant communication.
Check the written plan
Review the confirmed areas, services, inclusions, exclusions, prices, payment terms, policies, and organizer responsibilities.
Prepare and announce
Only after written confirmation, publish dates and participant instructions, follow the approved plan, and share current arrival, waiver, access, and conduct details.

Availability comes after review
Dates, areas, stays, activities, shared spaces, and other arrangements are not held until MERUS confirms them in writing.
Access and waivers still apply
Every participant needs the access and waiver coverage stated in the final arrangement. Do not assume a group or event inquiry includes park or 4×4 access.
Use the right stay type
Tents, overland trailers, and group camping cannot share an RV site. MERUS must confirm the appropriate mix of campsites, RV sites, cabins, and parking.
Discuss special operations before committing
Tell MERUS about proposed food service, third-party vendors, equipment, amplified sound, alcohol, commercial activity, or special access needs before making outside commitments.
Conditions can change access
Weather, maintenance, closures, hunts, and scheduled events can affect routes and park areas. Follow the final confirmation and current staff direction.
What to send with your event idea
Send one complete concept. MERUS will confirm capacity, availability, lead time, pricing, and whether the event can be supported; none is promised here.
Preferred dates and flexibility
Share a first choice, alternatives, and whether the group plans to stay overnight.
Group profile
Estimate the number of adults and describe the event purpose/outcome.
Vehicles and trail use
Estimate the vehicle mix and explain whether the group wants 4×4 access, guided activity, or no motorized trail use.
Overnight needs
Describe the expected mix of tents, overland trailers, RVs, cabins, or day-only participants.
Activities and shared-space needs
List the experiences, meetings, meals, demonstrations, or gathering spaces the group hopes to use.
Food, vendors, equipment, and access needs
Identify any proposed outside provider, special equipment, mobility or communication need, or other operational consideration.

MERUS reviews private, club, community, team, and organizational concepts individually. Send the purpose, audience, activities, footprint, and operational needs so the park can evaluate fit.
How far ahead should I inquire?
No standard lead time is represented here. Share preferred and alternate dates as soon as the concept is ready, and wait for MERUS to confirm the planning path.
Are vendors, catering, alcohol, or special equipment allowed?
Do not assume approval. Identify every proposed provider, service, item, and use in the inquiry. MERUS will confirm what is permitted and which requirements apply.
